About the Role
We are seeking a highly organized, proactive, and professional Executive Administrative Assistant to support our senior leadership team and manage front desk operations at our Browns Summit facility. This role combines executive-level administrative support with office coordination responsibilities, requiring exceptional communication skills, attention to detail, and the ability to handle confidential information with discretion.
Key Responsibilities
Executive Administrative Support
- Manage complex calendars and schedules for C-suite and VP-level executives.
- Draft and edit executive reports, presentations, and correspondence.
- Screen and manage phone calls, emails, and messages.
- Coordinate domestic and international travel arrangements.
- Prepare and submit expense reports (e.g., Concur or similar systems).
- Organize meetings, prepare agendas, and document meeting minutes.
- Maintain strict confidentiality on sensitive matters.
- Greet and assist visitors, vendors, and employees professionally.
- Manage incoming calls, mail, and deliveries.
- Oversee visitor access and security protocols.
- Maintain a clean and organized reception and office environment.
- Support office needs such as meeting room setup, catering, and supplies.
- Assist with AP/AR tasks including invoice coding and data entry.
- Track outstanding payments and vendor invoices.
- Reconcile expenses and vendor statements.
- Support monthly financial close processes and maintain accurate records.
- Education: Bachelor’s degree or equivalent experience (preferred).
- Experience: 5+ years supporting C-suite or VP-level executives.
- Technical Skills:
- Advanced Microsoft Excel (pivot tables, VLOOKUP, formulas).
- Proficient in Microsoft Office Suite (Word, Outlook, PowerPoint).
- Other Skills:
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Professional demeanor and ability to maintain confidentiality.
- Experience preparing executive-level reports and board materials.
- Familiarity with Microsoft Teams, SharePoint, or similar tools.
- Background in AP/AR processes or financial systems.
- Experience in a fast-paced, high-confidentiality corporate environment.
