The Finance Specialist is responsible for managing day-to-day accounting activities, including AP/AR processing, reconciliations, invoicing, and financial reporting support. Key Responsibilities
Accounts Payable & Expense Management
- Process invoices and accounts payable transactions accurately and on time
- Monitor employee corporate card activity, ensuring receipts, coding, and approvals are complete
- Follow up on missing receipts, incorrect entries, and unapproved expenses
- Maintain vendor relationships and resolve invoice discrepancies
- Monitor AR aging and follow up on outstanding invoices
- Apply and reconcile customer payments (ACH, check, credit card, electronic)
- Prepare and issue invoices for programs, events, and partner agencies
- Respond to billing inquiries from customers and partners
- Assist with bank and account reconciliations
- Post journal entries and support month-end close processes
- Support budget preparation and financial reporting activities
- Assist with audit preparation and annual 1099 filings
- Compile financial reports for leadership and partner organizations
- Maintain organized financial records and ensure compliance
- Support implementation of accounting policies and internal controls
- Collaborate with staff, vendors, auditors, and funding partners
- Assist with system imports (CSV), ERP processes, and automation platforms
- Associate’s Degree in Accounting, Finance, or related field (or equivalent experience)
- Experience with accounts payable, accounts receivable, and reconciliations
- Strong proficiency in Microsoft Excel, Word, and ERP systems (NetSuite preferred)
- Experience with AP automation systems
- Knowledge of nonprofit accounting and government-funded programs preferred
- Bilingual (English/Spanish) is a plus
