About the Role
As our Bid & Project Coordinator, you’ll be the central hub for managing customer requests, preparing estimates, coordinating site surveys, and ensuring timely delivery of signage and print projects. You’ll work closely with our production and installation teams to bring customer visions to life—on time and with exceptional quality.
Key Responsibilities
- Manage incoming customer requests and develop project estimates and quotes.
- Schedule site surveys and follow up on bids to convert them into sales.
- Order inventory and materials from suppliers; track deliveries and manage accounts payable.
- Maintain organized project files and ensure all documentation is up to date.
- Collaborate daily with the Business Owner and team to review assignments and project status.
- Communicate with customers regarding schedules and project updates.
- Support installation and production teams to meet deadlines and quality standards.
- Assist with general office duties as needed.
- Projects are completed on time and exceed customer expectations.
- Inventory and materials are efficiently managed to support production schedules.
- Project documentation is accurate, organized, and accessible.
- Strong integrity and customer-first mindset.
- Excellent communication and organizational skills.
- Ability to follow established systems and ensure team compliance.
- Proactive problem-solving and a willingness to go the extra mile.
- Team-oriented with a desire to improve processes and systems.
- Comfortable working across office, production, and installation environments.
- Proficiency in office software (e.g., Microsoft Office, project management tools).
- Experience in a fast-paced office or project coordination role.
- Basic math and accounting knowledge is a plus.
- Familiarity with signage, print, or construction industries is beneficial.
- Office-based with regular interaction across production and installation teams.
- Morning team huddles to align on daily goals and materials.
