We are seeking an experienced Executive Assistant to join our local palliative care client in a temporary capacity. This opportunity will last a minimum of four weeks, and is offering a pay rate of $17.00-19.00 per hour depending on experience level! The ideal candidate will be someone with previous experience as an Executive Assistant in a hospital setting, skilled at managing multiple calendars/schedules and booking rooms. This position will be responsible for providing support to the President/CEO and Executive Director, as well as administrative support for ongoing projects for the Board of Directors. Responsibilities:
- Prepare accurate, detailed reports in various formats for quarterly, monthly, and Foundation meetings
- Distribute all necessary information for committees ahead of meetings, adhering to rules and regulations
- Attend all meetings as recording secretary with complete discretion, and produce minutes following the meetings, giving an accurate account of information and noting action items
- Handle all the administrative detail and logistical arrangements for assigned meetings and events
- Coordinate reporting from Committees, and maintain spreadsheet of accurate contact information of all members
- Schedule orientation for all new Foundation members, and coordinate information and data reports needed for each member at orientation
- Coordinate the development of annual reporting as needed
- Demonstrate initiative in planning and completing assignments, recognizing tasks that must be completed to achieve goal
- Arrange and schedule meetings and other events, avoiding schedule conflicts
- Coordinates small or large events, and prepare agendas, handouts and PowerPoint presentations
- Confirm reservations, attendee involvement, and other aspects of meetings/events including sending out reminders
- Make and verify reservations (hotel, flight and conference) and prepare itinerary of events
- Ensure that action items from meetings are scheduled for follow up
- Anticipate needs which allows CEO and Executive Director to focus on other details and work a flexible schedule to meet the needs of role
- Prepare agendas, take phone messages, coordinate room scheduling, balance credit cards, and prepare check requisitions as needed
- Screen incoming telephone calls in a professional, sensitive and confident manner, rerouting if necessary, and then following-up on any issues
- Prepare expense and mileage reports, and handle memberships for agency and executives
- Maintain organizational files and archives of documents related to corporate structure, licensure, tax, governmental payer and other regulatory status
- Handle communication with staff, constituents and consumers in a prompt and courteous manner
- Perform general clerical duties including photocopying, faxing, mailing and filing
- Maintain confidentiality and privacy in all areas and functions
- Communicate with patients, families and all employees in a clear, professional and courteous manner
- Respect dignity of all patients, families, and coworkers, and use empathy and consideration in all words and actions
- Participate and assist with department sponsored events, and agency events and activities

Qualifications:
- Three years of college or business school or the equivalent in experience
- Hospice and/or healthcare experience is preferred
- At least 3-years of experience providing administrative assistance to one or more senior executives and supporting their work with a board of directors
- Valid driver s license and current automobile liability insurance
- Understand and committed to the company philosophy of care
- Understand the need for high level of integrity, confidentiality, and discretion involved in the role
- Demonstrate excellent critical thinking, problem solving, documentation, and compassionate interpersonal communication skills
- Strong written skills, including correct grammar, punctuation, and usage
- Demonstrate excellent organizational skills and high level of responsiveness, handling a variety of tasks and assigning priorities to tasks
- Demonstrated and consistently high level of multi-tasking skills, with high attention to detail
- Computer proficiency with Microsoft Outlook and Microsoft Office including email, calendar, Word, Excel, and PowerPoint
- Proficiency with compiling statistical information, trending, tracking and presenting information required
- Ability to operate and navigate through various computer systems and audio/visual equipment
- Ability to establish harmonious working relationships within an interdisciplinary team setting with minimum supervision
- Ability to work a flexible schedule to meet business needs
- Ability to participate in any training that may be necessary to complete the assigned duties effectively
