We are seeking a detail-oriented and process-driven Payroll Specialist to support our Payroll Manager in ensuring accurate and timely payroll operations across multiple locations. This is a high-impact, highly manual position within a structured team that holds itself to very high standards. Payroll Processing
- Assist in preparing and processing weekly and bi-weekly payrolls for assigned locations
- Serve as backup for Home Office payrolls and Lead Payroll/Tax Specialist
- Calculate and process manual checks, voids, rewrites, and stop payments
- Perform direct deposit transfers and process employment verifications
- Balance weekly tax data and process 401(k) contributions, child support, garnishments, and third-party payments
- Interface with general ledger to ensure accurate account numbers and payroll mapping
- Ensure compliance with all federal, state, and local payroll laws
- Support monthly, quarterly, and year-end tax reporting, W-2s, and reconciliations
- Maintain accurate records and resolve discrepancies proactively
- Help manage payroll system setup and updates (Oracle Payroll)
- Maintain accurate tax jurisdictions and state unemployment insurance (SUI) rates
- Collaborate with internal IT for system testing and troubleshooting
- Contribute ideas for process automation and streamlining
- Maintain payroll procedures manual and assist with audits
- 3+ years of payroll processing experience, preferably in a multi-location environment
- Strong attention to detail and excellent accuracy in data entry
- Solid understanding of payroll-related accounting and tax compliance
- Proven ability to manage sensitive data with discretion and confidentiality
- Strong critical thinking and troubleshooting skills
- Experience with Oracle Payroll highly preferred
- Excellent communication skills (verbal and written)
- Strong organizational and time management skills—able to handle multiple deadlines
- Customer service mindset and team-oriented attitude
- Associate degree in Accounting, Finance, or a related field preferred
- Formal payroll training or certification is a plus
- Equivalent combination of education and relevant experience will be considered
